First find the state and issuing court

“Campbell County” alone does not identify one criminal-record jurisdiction. Find the state on the summons, citation, court seal or agency correspondence before selecting a search site. A person’s current address is not necessarily the place where a case was filed. Keep the state, court name, case number and year together so a result from a different Campbell County is not attached to the wrong person.

The concrete example below is Campbell County, Kentucky. It does not select Kentucky for an unidentified case or supply procedures for other states. If your paperwork names another state, use that state’s official court directory and the clerk of the issuing court. If you have only a name, resolve the state and likely filing court before paying for a county search.

For Kentucky, contact the Circuit Court Clerk

Kentucky’s directory identifies the Campbell County Courthouse at 330 York Street, Newport, KY 41071. Call 859-292-6314 and choose District Court, option 1, or Circuit Court, option 2. The Circuit Court Clerk is the starting point for copies from these courts. The County Clerk’s separate county-records website is not the court-case custodian and should not be used as proof of a clear criminal history.

Give the defendant’s name, case number if known, approximate filing or disposition year and the particular document needed. For a final outcome, ask for the judgment, dismissal or other disposition rather than an undefined background report. Explain whether you need an ordinary or certified copy and request the current copy, certification, postage and payment instructions before ordering. The directory does not establish a universal per-page price for this request.

Have the clerk establish an older file’s location

Kentucky directs case-record inquiries to the clerk that heard the matter. The state Administrative Office of the Courts does not hold the underlying case files. Depending on the age and type of case, records may still be with the clerk, stored at a records facility, or destroyed under the applicable retention schedule. Ask for the file’s location and public availability before contacting an archive.

If an accessible file has moved, obtain both its case and file locator numbers from the clerk. For the State Records Center, send those identifiers with its request form to [email protected] or call 502-564-3617. The center cannot substitute a person’s name or Social Security number for those locators. A referral with the locator is the practical next step, not another broad name search.

A Kentucky statewide report is another product

If Kentucky is confirmed and you need a broader history summary, the Kentucky AOC offers criminal-record reports for $25, based on state District and Circuit Court activity across all 120 counties. AOC’s report is not the judge-signed indictment, judgment or order; obtain those from the county’s Circuit Court Clerk. Federal records and confidential case types are outside this report.

Reports are processed in receipt order, with timing dependent on workload rather than a guaranteed instant response. AOC says it notifies the subject and supplies them a copy when a third-party request finds a record, so understand that consequence before requesting another person’s history.

Check the person and the final result

Compare more than a matching name. Keep the state, county, court level and case number on any copy you retain. Read the final disposition for each charge and ask about a later amended order where relevant. A pending charge, arrest entry or old docket reference does not establish conviction; a file’s destruction under retention rules does not establish innocence or erase the historical proceeding.

AOC’s Kentucky summary excludes expunged or purged cases and describes misdemeanor/traffic coverage for at least the last five years and felonies back to 1978. Those coverage limits do not define what another Campbell County holds. A no-match result should be reported as the result of that specific service and search, rather than proof that no criminal record exists anywhere.

Follow an error to the record holder

For a Kentucky report that appears incorrect, incomplete or out of date, contact the AOC Records Unit at 800-928-6381 for assistance or referral. Some issues require the Circuit Court Clerk in the county where the case was filed. Supply the disputed entry, search date, case reference and relevant order; a correction to the source court may need to reach the summary system too.

For an unidentified-state record, pause the request until its jurisdiction is established. Do not send personal documents or payment to the Kentucky office merely because the county name matches. Once the court is verified, ask about access restrictions, certification and delivery for that exact file, and retain its custodian’s reply with the document.
